DATA PROTECTION & PRIVACY

Role Clarification

WhitePanther acts as:

  • Data Controller for account registration and billing data
  • Data Processor for customer-managed data processed through the platform

Cloud Provider Data Architecture

WhitePanther integrates with third-party services, including:

  • Google LLC

Important clarifications:

  • Email content remains within the user’s Gmail account.
  • Files remain stored in user-controlled Google Drive accounts.
  • WhitePanther does not replicate or permanently store such content.
  • Only encrypted metadata references may be retained for workflow continuity.

We align our practices with:

  • GDPR principles (where applicable)
  • Indian data protection regulations
  • Google API Services User Data Policy (including Limited Use requirements)

We do not sell or resell customer personal data.

SECURITY & RISK MANAGEMENT

WhitePanther operates under an Information Security Management approach aligned with ISO/IEC 27001 principles.

  • Encryption in transit (TLS)
  • Encryption at rest
  • Role-based access control (RBAC)
  • Secure authentication and token handling
  • Segregated environments (development, staging, production)

TEAMS, CHAT & COMMUNICATION COMPLIANCE

WhitePanther provides internal collaboration tools including:

  • Acceptable Use Policy
  • Privacy Policy
  • Product Module Terms

Important principles:

  • Calls are not recorded by default.
  • Users must obtain lawful consent before recording.
  • WhitePanther does not actively monitor conversations except where required for security or legal compliance.

Users remain responsible for lawful communication practices.

PAYMENT & FINANCIAL TRANSPARENCY

WhitePanther:

  • Acts as Merchant of Record
  • Does not hold or custody customer funds
  • Does not operate as a bank, escrow service, or wallet provider

Payments are processed by regulated third-party providers:

  • Razorpay Software Private Limited
  • PhonePe Private Limited

WhitePanther:

  • Does not store full card numbers
  • Does not store CVV
  • Relies on tokenization handled by payment processors

Settlement timelines and transaction execution are governed by the respective payment providers.

AI TRANSPARENCY

WhitePanther provides AI-powered drafting and workflow automation tools.

AI outputs:

  • Are generated automatically
  • May contain inaccuracies
  • Must be reviewed before external reliance

WhitePanther:

  • Does not use Gmail content for advertising
  • Does not resell AI-processed customer data
  • Does not use customer email content for independent AI training

Users remain responsible for reviewing and validating AI-generated outputs.

INTERNATIONAL DATA TRANSFERS

Where data is processed outside India:

  • Contractual safeguards are implemented
  • Risk-based assessments are conducted
  • GDPR-aligned transfer principles apply where relevant

Cloud-provider-hosted data remains subject to the respective provider’s international compliance framework.

REGULATORY ALIGNMENT

WhitePanther aligns its governance framework with:

  • Indian Information Technology Act, 2000
  • Applicable intermediary and consumer protection principles
  • GDPR principles (where applicable)
  • Google API Services requirements
  • RBI-aligned payment handling practices

Security and compliance controls are periodically reviewed and updated.
