REFUND & BILLING POLICY

This Refund & Billing Policy (“Policy”) governs subscription payments, billing practices, refunds, renewals, disputes, and related matters for the WhitePanther™ platform (“Platform”).

This Policy forms part of the WhitePanther™ Master Terms of Service. In the event of conflict, the Master Terms shall prevail.

  1. MERCHANT OF RECORD

HOODS HUB PRIVATE LIMITED (WhitePanther) acts as the Merchant of Record for subscriptions and services offered through the Platform.

Payments are processed through regulated third-party providers:

  • Razorpay Software Private Limited
  • PhonePe Private Limited

WhitePanther:

  • Does not store full card numbers
  • Does not store CVV
  • Does not store sensitive authentication data
  • Relies on secure tokenization handled by payment processors

Payment processing is subject to the respective provider’s terms and policies.

  1. PRICING & CURRENCY

Subscription pricing:

  • Is published on the official WhitePanther website
  • May vary by plan, usage tier, or enterprise agreement
  • Is billed in advance

Unless otherwise specified, pricing is denominated in Indian Rupees (INR).
International pricing may be displayed in other currencies where supported.

WhitePanther reserves the right to modify pricing with prior notice. Price changes apply only to future billing cycles.

  1. BILLING CYCLES

Subscription options may include:

  • Monthly plans
  • Annual plans
  • Custom enterprise agreements

All subscription fees are billed in advance for the selected billing period.

Enterprise customers may be subject to separate invoicing terms under written agreements.

  1. TAXES

Applicable taxes, including Goods and Services Tax (GST), will be charged in accordance with Indian law.

Invoices issued by WhitePanther will include applicable tax details.

Customers are responsible for:

  • Providing accurate billing information
  • Complying with tax obligations in their jurisdiction
  1. AUTO-RENEWAL AUTHORIZATION

Unless cancelled before the renewal date:

  • Subscriptions automatically renew
  • The applicable subscription fee will be charged to the saved payment method

By subscribing, you authorize WhitePanther to charge recurring subscription fees until cancellation.

  1. FAILED OR DECLINED PAYMENTS

If a payment fails:

  1. We may retry the charge automatically.
  2. You may be notified to update payment details.
  3. A grace period (typically up to 7 days) may apply.

If payment remains unresolved:

  • Access to paid features may be suspended.
  • Continued failure may result in termination.

WhitePanther is not responsible for payment failures caused by:

  • Insufficient funds
  • Expired cards
  • Bank restrictions
  • Gateway errors
  • Regulatory holds
  1. REFUND POLICY

7.1 General Rule

Unless otherwise required by law, subscription fees are non-refundable except as expressly described below.

7.2 Eligible Refund Scenarios

Refunds may be considered in limited circumstances such as:

  • Duplicate billing
  • Verified technical failure preventing access to core features
  • Accidental purchase (reported promptly)

Refund requests must be submitted within 7 days of payment.

Approval is at WhitePanther’s discretion unless required by law.

7.3 Non-Refundable Situations

Refunds will not be granted for:

  • Partial billing periods
  • Unused subscription time
  • Downgrades during active billing cycle
  • Feature dissatisfaction after use
  • Suspension due to policy violations
  • Gateway or transaction processing fees (where applicable)

7.4 Annual Subscription Refunds

For annual plans:

  • Approved refunds may be prorated
  • Administrative or processing fees may be deducted
  • Discounts applied at purchase may be recalculated

7.5 Refund Processing Timeline

If approved:

  • Refunds will be processed through the original payment method
  • Processing time depends on the payment provider and banking system
  • WhitePanther does not control bank settlement timelines
  1. UPGRADES & DOWNGRADES

8.1 Plan Upgrades

If you upgrade mid-cycle:

  • Additional charges may be applied immediately
  • Prorated adjustments may apply

8.2 Plan Downgrades

If you downgrade:

  • Changes take effect at the next billing cycle
  • No partial refunds are issued for the current billing period
  1. CANCELLATION POLICY

You may cancel your subscription at any time.

Cancellation:

  • Stops future renewals
  • Does not automatically trigger a refund
  • Does not waive outstanding charges

Upon cancellation:

  • Access continues until the end of the paid billing period
  • Data retention follows the Master Terms and Privacy Policy
  1. CHARGEBACKS & PAYMENT DISPUTES

If a chargeback is initiated:

  • The associated account may be suspended
  • Access may be restricted during investigation
  • Relevant documentation may be submitted to the payment provider

Fraudulent or abusive chargebacks may result in:

  • Permanent account termination
  • Recovery of losses
  • Legal action where applicable

Users are encouraged to contact support before initiating disputes through their bank.

  1. PAYMENT ORCHESTRATION DISCLAIMER

WhitePanther may provide payment tracking or payout orchestration functionality.

However:

  • WhitePanther does not hold customer funds
  • Settlement is executed exclusively by third-party payment providers
  • Settlement timelines are governed by those providers

Refunds related to failed payment transfers may depend on payment provider policies.

  1. PROMOTIONAL OFFERS

Discounts, coupons, or promotional pricing:

  • May be subject to separate terms
  • May apply only for a limited duration
  • May not be combined unless explicitly stated
  • May revert to standard pricing upon renewal

WhitePanther reserves the right to withdraw promotional offers in cases of abuse.

  1. BILLING DISPUTES

Billing disputes must be raised within 30 days of the invoice date.

Failure to notify within this period constitutes acceptance of charges.

WhitePanther may request supporting documentation for dispute evaluation.

  1. SUSPENSION FOR NON-PAYMENT

WhitePanther reserves the right to:

  • Suspend access for overdue accounts
  • Restrict feature availability
  • Terminate accounts for continued non-payment

Outstanding fees remain payable even after suspension.

  1. POLICY MODIFICATIONS

WhitePanther may update this Policy with prior notice.

Continued use of the Platform after updates constitutes acceptance of revised terms.
